After-hours calls: what callers need and what a small shop can offer
You cannot answer the phone at 9 at night, and nobody should expect you to. But the person calling still has a problem. Here is what they need from you in that moment, and four ways to give it to them without working around the clock.
The short answer: an after-hours caller needs three things: to know they reached the right business, to know when a person will get back to them, and a way to leave their details in under a minute. You can give them that with a good voicemail greeting (free), call forwarding to whoever is on call (usually free), a website chat or form that takes details overnight, or a paid live answering service. Start by counting how many after-hours calls you really get with the 20-minute missed-call audit.
What an after-hours caller actually needs
Most people who call a closed business do not expect a person. They expect not to be left guessing. Three questions are in their head:
- Did I reach the right place? A greeting with no business name sounds like a wrong number.
- When will someone get back to me? "We will call you back" means little. "We return calls from 8 in the morning" is something a person can plan around.
- Is it worth leaving my details? If it takes more than a minute, many will not bother.

First, count your own after-hours calls
Before you spend anything, find out how big the problem is. Open your phone's call history for one normal week and mark every call that came in while you were closed. Then split them:
- Calls from numbers you already know (customers, suppliers, family).
- Calls from new numbers that left a message.
- Calls from new numbers that left nothing.

Four things a small shop can offer
There is no single right answer. These are the four realistic choices, from free to paid.
- A clear after-hours greeting. Free. It answers the caller's three questions and asks for a name, number and the problem. Google Voice, for one, lets you record up to 10 greetings and choose which one is active, so you can keep a daytime and an after-hours version. - Forwarding to whoever is on call. Carriers let you send unanswered calls to a second number. Verizon's own page says most of its plans have no monthly fee for call forwarding. This suits trades with real emergencies, as long as the person on call has agreed to it. Steps are in how to forward business calls.
- A website chat or form that works overnight. Many after-hours enquiries come through your website, not the phone. Make your hours match everywhere
A good share of after-hours calls happen because the caller thought you were open. Your hours on Google, on your website and in your voicemail should say the same thing.
Google Business Profile has three settings for this. Its help page describes main hours ("to update your customers on when you're open"), special hours ("to change your hours for holidays or other temporary periods") and more hours for services that keep different times. Set the holiday hours before the holiday, not after the first confused caller.
Then put the same hours in the footer of your website and in your greeting. If you take emergency calls outside those hours, say so in all three places, with the number to use. Our help page shows how we list our own contact details.
A rule to know before you reply at night
If you plan to reply to after-hours callers by text, know the calling-hours rule first.
The federal regulation on telephone solicitations, 47 CFR 64.1200, says no telephone solicitation may be made to "any residential telephone subscriber before the hour of 8 a.m. or after 9 p.m." in the called person's local time. Another paragraph of the same rule applies those limits to telemarketing calls and text messages to wireless numbers.
Whether a given reply counts as a solicitation depends on what it says and on the consent you hold, and that is a question for a lawyer, not for a guide. The practical habit many businesses adopt is simple: do not send marketing texts at night, and hold anything doubtful until morning. Consent is covered in what counts as consent to text a customer. What to do the next morning
After-hours coverage only works if the morning routine is real.
- Check every place a message can land before your first job: voicemail, email, website form, chat.
- Call the overnight enquiries first, before returning yesterday's calls. They have waited longest.
- Reply in the order they came in. The person who called at 6 pm should not hear from you after the one who called at 6 am.
- Write down who you reached and who you did not, so a second try happens the same day.

About after-hours calls
Do I need to answer calls after hours?
Only if your work is truly urgent, such as a burst pipe or a lockout, and you want that work. For most small businesses a clear greeting that says when you will call back is enough. Count a week of your own after-hours calls with the missed-call audit before you pay for anything.
How many calls come in after hours?
We could not find a public figure for small local businesses that we can stand behind, so we do not quote one. Your phone's call history has the real answer for your business, and it takes about twenty minutes to count.
Can I text a caller back at night?
Be careful. The federal rule on telephone solicitations bars them to a residential subscriber before 8 a.m. or after 9 p.m. in the called person's local time, and the rule applies the same limits to texts to wireless numbers.
